General Terms and Conditions
Set out below are the Terms & Conditions which is incorporated into your contract with Renedian Adventures Ltd, whose registered place of business is at 14115 Prairie Valley Rd, Summerland V0H 1Z8, British Columbia, Canada with Alberta Corporation Number: 2014923789 (“Renedian”, “we”).
These terms and conditions are setting out both parties’ respective rights and obligations. References to “you“, “your“, “Guest” or “Guests” include any person whose name appears on the booking and/or all persons on whose behalf a booking is made or any other person to whom a booking is added or transferred too subsequently.
Summary of Renedian’s Cancellation Policy and Booking Terms
(Refer to Clauses 13 – 20 below for more details)
Deposit
A 10% deposit is required at the time of booking to secure your place on tour. Final payment is due in full 60 days before the start of your tour. If your booking is made within 60 days of the tour starting, full payment is required at the time of booking.
Cancellation Up To 60 Days Before
If a booking is canceled by you for any reason up until 60 days before the tour starts, your full deposit minus a CAN$250 admin fee will be returned to you. You may select to transfer the full deposit to another Renedian tour, in which event no admin fee will be levied.
Cancellation 30-60 Days Before, After Final Invoice Is Paid
If this booking is canceled by you after the final invoice is paid and your cancelation is made between 60 and 30 days before your tour starts, 50% of the total invoiced amount will be retained by Renedian for expenses incurred on your behalf.
Cancellation 30 Days Before, After Final Invoice Is Paid
If this booking is canceled by you in writing after the final invoice is paid and your cancelation is made less than 30 days prior to the start of your tour, 100% of the invoiced amount will be retained by Renedian for expenses incurred on your behalf.
Cancellation By Renedian
If your tour is canceled by Renedian, your full payment is refundable or transferrable to another tour, and no admin fee will be levied.
Minimum number of guests on tour
Our tours require a minimum number of Guests to run and considering that we strongly advise you not to buy any non-refundable items (such as flights, insurance, etc.) until we have confirmed that your tour will depart. We normally can confirm either way at least 90 days prior to the start date but will advise accordingly in respect of each tour.
Your agreement with Renedian
1. This agreement is entered into between Renedian and the person making the booking, (“you”, “your”, “Guest” or “Guests”), being any person travelling or intending to travel on a tour organized by Renedian including any person who is added or substituted, or to whom the booking is transferred to after the initial booking was made.
2. This agreement is subject to Canadian law only and will apply to any dispute, claim or other matter of any description, which arises between us (except as maybe set out below). We both agree that any dispute, claim or other matter of any description (and whether or not involving any personal injury), which arises between us, must be dealt with by a Canadian court only. No employee of Renedian other than a director has authority to change or do away with any of these terms.
3. Authority to make booking – When making a booking, the first named person on the booking agrees on behalf of all other persons detailed on the booking that:
3.1 He/she has read these Terms & Conditions and has the legal authority to make such booking and to be bound by them;
3.2 He/she consents to the use of personal data in accordance with our Privacy Policy and is authorized on behalf of all persons named on the booking to disclose their personal details to us, including where applicable special categories of data (such as information on health conditions or disabilities and dietary requirements);
3.3 He/she is over 18 years of age and where placing an order for services with age restrictions declares that he/she and all members of the party are of the appropriate age to purchase those services;
3.4 He/she accepts financial responsibility for payment of the booking on behalf of all persons detailed on the booking.
4. No promise of a discount or refund will be binding on Renedian unless confirmed by us in writing.
5. Any person named on a booking, whether booking in person, by telephone, via our website, by e-mail or by any other means, will be deemed to have agreed to the following conditions:
5.1 They have read and accepted to Renedian’s terms and conditions, privacy policy, liability waiver and any other general information contained on our website, pre-booking emails, quotes and invoices.
5.2 They appreciate and accept the inherent risks involved in participating in motorcycle adventure tours, including but not limited to the hazards of travelling in remote regions of developing countries, with medical facilities and response times that are often significantly worse than those in developed countries and that by the very nature of the activities they will be exposed to an element of personal risk over and above those associated with conventional holidays. These include the risk of personal injury and death and loss of or damage to property.
5.3 They do not suffer from any pre-existing medical condition or disability which may prevent them from actively participating in the tour – if any person suffers from any medical condition or disability which will or may affect their tour arrangements, such person is obliged to contact Renedian before making any booking to inform Renedian of such condition or disability, to allow Renedian to make an informed decision about the person making such disclosure’s ability to actively participate in the tour.
5.4 Acknowledgement that active participation of any of Renedian’s tours is not suitable for persons with reduced mobility.
6. A booking is considered made and becomes confirmed only –
6.1 from the date when Renedian has received the relevant booking deposit payment from the Guest or their authorized booking agent; and
6.2 a booking confirmation and receipt is issued by Renedian in to such person/s; and
6.3 The Guest has completed and signed Renedian’s waiver and release of liability document.
At that point the agreement between Renedian and the Guest comes into existence. For booking requests made online on our website or via email, any acknowledgement of such request by Renedian is not a confirmation of your booking.
7. Renedian and/or our agents reserve the right to decline any booking at our sole discretion.
8. If a booking is made through our website, we will usually communicate with you by email.
8.1 You must accordingly check your emails on a regular basis. We may also contact you by telephone and/or post if we cannot, for whatever reason, contact you by email. Certain documents may need to be sent by post. References in these conditions to “send” and “in writing” or similar is deemed to include communication by email.
8.2 You should contact us by email if you need to do so for any of the reasons mentioned in these booking conditions (for example, to request an amendment).

8.4 All written correspondence is to be sent to Renedian Adventures Ltd, 14115 Prairie Valley Rd, Summerland, V0H 1Z8, British Columbia, Canada.
9. Payment for your tour & pricing
9.1 Payment
9.1.1 The balance of all monies due, including any surcharges applicable at that time, must be received by Renedian not later than 60 days before the start of your tour. A deposit of 10% of the tour price will be required when making the booking. In the case of non-payment of the balance by the due date, Renedian reserves the right to treat your booking as cancelled and cancellation charges may apply as detailed herein.
9.1.2 Payment of the deposit and full amount can be made by cash, credit/debit card, or by electronic transfer into Renedian’s business bank account.
9.2 Pricing – We reserve the right to amend the price of unsold tours at any time and correct errors in the prices of confirmed tours. We also reserve the right to increase the price of confirmed tours solely to allow for increases which are a direct consequence of changes in:
9.2.1 the price of the carriage of passengers resulting from the cost of fuel or other power sources;
9.2.2 the level of taxes or fees chargeable for services applicable to the tour imposed by third parties not directly involved in the performance of the tour, including tourist taxes, landing taxes or embarkation or disembarkation fees at ports and airports; and
9.2.3 the exchange rates relevant to the tour.
Such variations could include, but are not limited to, cost changes which are part of our contracts with other suppliers and / or transport providers.
10. You will be charged for any increase in accordance with this clause. However, if this means that you have to pay an increase of more than 8% of the price of your confirmed tour (excluding any insurance premiums, amendment charges and/or additional services or travel arrangements), you will have the option of accepting a change to another tour if we are able to offer one (if this is of lesser value you will be refunded the difference in price), or cancelling and receiving a refund of monies paid to us, except for any insurance premiums and any amendment charges and/or additional services or travel arrangements or any payments we have already made on your behalf. Should you decide to cancel for this reason, you must exercise your right to do so within 7 days from the issue date printed on your final invoice.
11. Please note that travel arrangements are not always purchased in local currency and some apparent changes have no impact on the price of your travel due to contractual and other protection in place.
12. There will be no change made to the price of your confirmed tour within 60 days of your departure nor will refunds be paid during this period.
13. If you change your booking within 60 days of your tour departure date:
13.1 Any costs or charges incurred by us or incurred or imposed by any of our suppliers because of these changes will be charged if a confirmed booking is changed or transferred to a different departure date or tour.
13.2 Thereafter all changes will be treated as cancellations and subject to the charges below.
13.3 Changes are subject to availability.
14. If you or any member of your party is prevented from travelling, that person(s) may transfer their place to someone else, subject to the following conditions:
14.1 that person is introduced by you and satisfies all the conditions applicable to the tour;
14.2 we are notified not less than 7 days before departure;
14.3 you pay any outstanding balance payment, together with an admin fee of CAN$250 per person transferring, as well as any additional fees, charges or other costs that may arise from such transfer;
14.4 the transferee agrees to these terms & conditions and all other terms of the contract between us;
14.5 You and the transferee remain jointly and severally liable for payment of all sums. If you are unable to find a replacement, applicable cancellation charges as set out herein will apply to cover our incurred or estimated costs. Otherwise, no refunds will be given for passengers not travelling or for unused services, should they be withing the relevant cancellation periods.
14.6 Important Note: Certain arrangements may not be amended or transferred after they have been confirmed and any alteration could incur a cancellation charge of up to 100% of that part of the arrangements.
15. If you cancel your booking before departure:
15.1 Should you wish to cancel, cancellation charges may be imposed according to the schedule below. Any cancelation must be by way of a written notification to be received by Renedian:
15.1.1 60 days or more before the start date of your booked tour: Full refund of all funds paid, including deposit (minus CAN$250 admin fee);
15.1.2 30-60 days before the start date of your booked tour: 50% of the total invoiced amount paid will be retained by Renedian for expenses incurred on your behalf;
15.1.3 30 days before the start date of your booked tour: 100% of the total invoiced amount paid will be retained by Renedian for expenses incurred on your behalf.
16. Cancellation by Renedian
16.1 If your tour is canceled by Renedian, your full payment is refundable or transferrable to another tour, and no admin fee will be levied.
16.2 We will not cancel your tour less than 60 days before your departure date, except for reasons of force majeure or failure by you to pay the final balance. We may cancel your tour before this date if, e.g., the minimum number of Guests required for a particular travel arrangement is not reached, or for any other reason.
16.3 If we must make a significant change or cancel your tour before departure, the Guest will have the choice of:
16.3.1 accepting the changed arrangements; or
16.3.2 cancelling the tour with a full refund of all monies paid to us; or
16.3.3 if available, and where we offer one, accepting an offer of an alternative tour (we will refund any price difference if the alternative is of a lower value, and any difference due to a higher tour price will be for your account)
16.4 You must notify us of your choice within 7 days of our offer. If we do not hear from you within 7 days, we will contact you again to request notification of your choice. If you fail to respond again, we will assume that you have chosen to accept the change or alternative booking arrangements.
16.5 We regret we cannot meet any visa, vaccination or similar costs in the event of any change or cancellation by us. Similarly, as you are advised only to book fully flexible connecting transport and other arrangements (such as pre or post tour accommodation) which can be cancelled or changed without charge, we cannot pay any cancellation, amendment or other charges you may incur in relation to any arrangements which you have to change or cancel because of any change to your tour.
17. Changes to your Tour by Renedian
17.1 While Renedian will do its best to operate all tours as advertised, we reserve the right to change and correct errors in any of the facilities, services, prices or itineraries described in the tour brochure and/or on our website at any time before or after your booking is confirmed.
17.2 Most changes are minor, and, in such circumstances, we will make reasonable efforts to inform you as soon as reasonably possible if there is time to do so before your departure, but we will have no liability to you. Examples of minor changes include a change of accommodation to another of the same or higher standard.
17.3 Occasionally, we must make a significant change. If a significant change must be made, Renedian will inform the Guest as soon as reasonably possible, if there is time before departure. A significant change is a change made before departure which we can reasonably expect to have a major effect on your tour. Significant changes are likely to include, change of departure date of tour, change to class of motorcycle used, and a major itinerary re-routing. Please note, changes of named accommodation we have booked are not significant changes unless otherwise expressly stated.
17.4 If we become unable to provide a significant proportion of the arrangements that you have booked with us after you have departed, we will, if possible, make alternative arrangements for you at no extra charge and where those alternative arrangements are of a lower standard, provide you with an appropriate price reduction. Such changes may result from changes in the weather, road construction, or any other unforeseen situations.
18. Our tours require a minimum number of Guests to run and considering that we strongly advise you not to buy any non-refundable items (such as flights, insurance, etc.) until we have confirmed that your tour will depart. We normally can confirm either way at least 90 days prior to the start date.
19. It is a condition of booking with us that comprehensive medical travel and evacuation insurance is taken out by you which includes cover for hazardous (or similar) type activities, specifically covering motorcycle riding, and cover you against any potential cancellation charges. Depending on the reason for the cancellation, you may be able to reclaim the cancellation charges (less any applicable excess) under the terms of the insurance policy from the insurance company. All claims must be made direct to the insurance company and does not constitute any obligation on Renedian to negotiate your claim on your behalf. We will endeavor to provide you with all necessary information and documentation that could assist in your claim.
20. Passports, visas, documents and vaccinations
20.1 Guests are responsible for arranging, and must be in possession of, a valid, acceptable passport and any visas, documents and vaccination certificates required for the whole of their journey and tour that may be required.
20.2 You are responsible to check any requirements for your own specific circumstances with the relevant Embassies and/or Consulates and your own doctor as applicable.
20.3 Most countries now require passports to be valid for at least 6 months after your return date and have at least 6 blank pages. If your passport is in its final year, you should check with the embassy of the country you are visiting.
20.4 Requirements do change and you must check the up-to-date position in good time before departure. We regret that we do not accept any liability if you are refused entry onto any transport or into any country due to failure to carry all required documentation or failure to comply with immigration requirements or health formalities. You further agree to reimburse us in relation to any fines or other losses which we incur because of your failure to comply with any passport, visa, immigration requirements or health formalities.
21. Any Information about relevant matters or related items to your tour (i.e. information on the country, climate, clothing, baggage, personal gear etc.) is given to a Guest in good faith but without any responsibility on the part of Renedian.
22. Travel, cancellation, travel medical and medical evacuation insurance
22.1 Travel Insurance is mandatory for all Guests whilst on a tour organized by Renedian.
22.2 Guests together with their personal property including baggage are always at their own risk.
22.3 Guests are wholly responsible for arranging their own insurance.
22.4 Renedian does not arrange travel/cancellation insurance. Guests are responsible for ensuring that they have personal travel insurance with protection for the full duration of the tour in respect of at least medical expenses, injury, death, repatriation, cancellation and curtailment, with adequate and appropriate cover, specifically cover for you to ride a motorcycle. Guests should ensure that there are no exclusion clauses limiting or excluding protection for the type of activities included in their tour. Cover should specifically include riding a motorcycle of the specified engine size as outlined in the tour description, both on and off road. Guests should satisfy themselves that all travel insurance purchased meets their requirements and should arrange supplementary insurance if need be.
22.5 Guests will be asked to provide Renedian with their insurance details (insurance company name, policy number, policy wording and emergency contact phone numbers) no less than 30 days prior to the start of the tour.
22.6 If you choose to travel without adequate insurance cover, we will not be liable for any losses howsoever arising, in respect of which insurance cover would otherwise have been available.
23. Taking part in a Renedian Tour and your responsibilities
23.1 Guests agree to accept the authority and decisions of Renedian’s employees, partners, tour leaders, guides, drivers and agents whilst on tour with Renedian.
23.2 If in the opinion of any such person(s) or any other person in a position of authority (such as, for example, an airline pilot or hotel manager), the health, level of fitness or conduct of a Guest at any time before or during a tour is endangering or appears likely to endanger the health or wellbeing of the guest of any third party (including any other Guests of Renedian) or the safe, comfortable or happy progress of the tour, such person may be excluded from all or part of the tour without refund or recompense. Such decision will be made in the sole discretion of Renedian, by considering the wellbeing of the Guest in question as well as any other Guest or third party. Where a Guest is excluded, Renedian will have no further responsibility towards them (including any return travel arrangements), and we will not meet any expenses costs incurred because of the exclusion.
23.3 In the case of ill health, Renedian may make such arrangements as it sees fit and recover the costs thereof from the Guest. If a Guest commits an illegal act (including, for example, causing any damage) the Guest may be excluded from the tour and Renedian shall cease to have responsibility to/for them as above. No refund will be given for any unused services. When you book with us, you accept responsibility for any damage or loss caused by you or any member of your party. Full payment for any such damage or loss (reasonably estimated if not precisely known) must be made direct to the accommodation owner or manager or other supplier or to us as soon as requested. If the actual cost of the loss or damage exceeds the amount paid where estimated, you must pay the difference once known. If the actual cost is less than the amount paid, the difference will be refunded. You will also be responsible for meeting any claims subsequently made against us and all costs incurred by us (including our own and the other party’s full legal costs) because of your actions. You should ensure you have appropriate travel and liability insurance to protect you if this situation arises.
23.4 If you have any medical condition or disability which may affect your active participation in your tour or the tour arrangements of any other person or have any special requirements as a result of any medical condition or disability (including any which affect the booking process), please tell us before you confirm your booking so that we can assist you in considering the suitability of the proposed tour and/or making the booking. In any event, you must give us full details at the time of booking and whenever any change in the condition or disability occurs. You must also promptly advise us if any medical condition or disability which may affect your active participation in your tour, or the tour arrangements of any other person develops after your booking has been confirmed.
23.5 Guests are expected to always ride with (behind) the tour leader, unless advised otherwise.
23.6 Adherence to traffic laws and unsafe group travel behavior
23.6.1 Guests are at all times expected to comply with local traffic laws. If that does not occur or where a Guest does not practice safe group travel practices as explained and required by the tour leader and by guidelines provided by Renedian, Renedian reserves the right, in its sole discretion to suspend such guest’s riding privileges.
23.6.2 Riding privileges will immediately be suspended for anyone under the influence of drugs or alcohol.
23.6.3 Guests agree to refrain from alcoholic beverages until motorcycles have been finally parked for the night.
24. Event of Force Majeure
24.1 Except where otherwise expressly stated in this agreement or our Terms & Conditions, we will not be liable or pay you compensation if our contractual obligations to you are affected by “Force Majeure”.
24.2 Definition of Force Majeure – For the purposes hereof, Force Majeure means any event beyond our or our supplier’s control, the consequences of which could not have been avoided even if all reasonable measures had been taken. Examples include warfare and acts of terrorism (and threat thereof), civil strife, significant risks to human health such as the outbreak of serious disease at the travel destination, pandemics or epidemics including the ongoing effects of Covid-19, or natural disasters such as floods, earthquakes or weather conditions which make it impossible to travel safely to the travel destination or remain at the travel destination, the act of any government or other national or local authority including port or river authorities, industrial dispute, labor strikes, lock closure, natural or nuclear disaster, fire, chemical or biological disaster, unavoidable technical problems with transport and all similar events outside our or the supplier(s) concerned’s control.
25. Our responsibility for your tour
25.1 Bookings are accepted on the understanding that Guests appreciate and accept the possible risks inherent in motorcycle adventure travel and that they undertake a Renedian tour at their own will.
25.2 We will accept responsibility for the arrangements we agree to provide or arrange for you under the BC consumer protection and as such, we are responsible for the proper provision of all travel services included and specified in your package tour, as set out in your confirmation invoice.
25.3 Subject to these Terms & Conditions, if we or our suppliers negligently perform or arrange those services and we don’t remedy or resolve your complaint within a reasonable period. You must inform us without undue delay of any failure to perform or improper performance of the arrangements included in your tour. Please note that it is your responsibility to show that we or our supplier(s) have been negligent if you wish to make a claim against us.
25.4 We will not be responsible for any injury, illness, death, loss (including loss of possessions and loss of enjoyment), damage, expense, cost or other sum or claim of any description whatsoever which results from any of the following: the act(s) and/or omission(s) of the Guest(s) affected or any member(s) of their party, or; the act(s) and/or omission(s) of a third party not connected with the provision of your tour and which were unforeseeable or unavoidable, or; ‘force majeure’ as defined in clause 26.
25.5 We limit the amount of compensation we may have to pay you if we are found liable for loss of and/or damage to any luggage or personal possessions and money: the maximum amount we will have to pay you in respect of such a claims is an amount equivalent to the excess on your insurance policy which applies to this type of loss per person in total because you are required to have adequate insurance in place to cover any losses of this kind.
25.6 Claims in respect of international travel by air, sea and rail, or any stay in a hotel: The extent of our liability will in all cases be limited as if we were carriers under the appropriate Conventions, which include The Paris Convention (with respect to hotel arrangements).
25.7 When arranging transportation for you, we rely on the terms and conditions contained within such supplier’s ‘Conditions of Carriage’. You acknowledge that all the terms and conditions contained in those ‘Conditions of Carriage’ form part of your contract with us, as well as with the transport company and that those ‘Conditions of Carriage’ shall be deemed to be included by reference into this contract.
25.8 Adverse weather – Renedian cannot be held liable for any adverse weather conditions that occur during a tour and no refunds or adjustments to the tour price can or will be made for such weather conditions.
26. Motorcycle Rental and Motorcycle Requirements
26.1 Motorcycles are included in the cost of your tour. Renedian will attempt to provide Guests with the model of motorcycle initially confirmed after booking. If, after having confirmed the model of motorcycle requested, Renedian finds that it is necessary to substitute a different model, Renedian will notify such Guest as soon as possible. If you do not wish to accept the proposed substitution, you may cancel the tour without penalty and the deposit and tour cost will be refunded.
26.2 Unexpected and uncontrollable situations may require last minute substitution of a motorcycle, including after the tour has begun. This includes, but is not limited to, mechanical failure, collision damage and theft. In this instance, Renedian reserves the right to substitute the type of motorcycle confirmed and you may not be able to cancel the tour or require a refund, partially or in whole, should this be the case
26.3 Should Renedian not be able to replace a motorcycle with the confirmed type or similar, a pro-rated refund for the difference in models, if any, may be refunded to you. This constitutes the maximum liability of Renedian.
26.4 Motorcycle rental companies require a damage deposit. The amount will be provided to you prior to the tour and varies depending on the supplier, region of travel and model. You will be asked to submit a credit card number to the rental company in advance of the tour, with authorization to pay the deposit in the event of damage.
26.5 A Guest is under no circumstance allowed to operate bike after drinking an alcoholic beverage or using a mind-altering drug. If a Guest does operate a bike after drinking an alcoholic beverage or using a mind-altering drug, the damage waiver signed by Guests is considered null and void and Guests incurs unlimited liability for damage to the motorcycle.
26.6 Renedian is not obligated to replace a motorcycle damaged by Guests or damaged in a traffic accident.
26.7 Guests who intend to operate a motorcycle provided by Renedian must be at least 25 years old and must have a valid motorcycle operator license. Guests must also attest that they have at least two years of experience operating a motorcycle of similar size or larger than the motorcycle that will be provided by Renedian.
27. We cannot accept responsibility for any services which do not form part of our contract. This includes, for example, any additional services or facilities which any supplier agrees to provide for you where the services or facilities are not advertised by us, and we have not agreed to arrange them as part of our contract.
28. Any optional excursions or activities booked during your holiday do not form part of our contract as these are all arranged for you directly by the suppliers concerned. This is also in respect of any such activities that we have arranged on your behalf for you.
29. Regardless of any wording used by us on our website, in any advertising material or elsewhere, we only promise to use reasonable skill and care as set out above and we do not have any greater or different liability to you.
30. The promises we make to you about the services we have agreed to provide or arrange as part of our contract – and the laws and regulations of the country in which your claim or complaint occurred – will be used as the basis for deciding whether the services in question had been properly provided. Please bear in mind that standards of, for example, safety, hygiene, and quality may vary throughout the destinations, services and transport your tour involves and may be lower than or different to those applicable in Canada. If the services which gave rise to the claim or complaint complied with the local laws and regulations applicable to those services at the time, the services will be treated as having been properly provided. This will be the case even if the services did not comply with the laws and regulations of Canada which would have applied had those services been provided in Canada.
31. We cannot accept any liability for any damage, loss, expense or other sum(s) of any description:
31.1 which based on the information given to us by you concerning your booking prior to our accepting it, we could not have foreseen you would suffer or incur if we breached our contract with you, or;
31.2 relate to any business;
31.3 indirect or consequential loss of any kind
32. You must provide ourselves and our insurers with all assistance we may reasonably require. You must also tell us, and the supplier concerned about any claim or complaint. If asked to do so, you must transfer to us or our insurers any rights you have against the supplier or whoever else is responsible for your claim or complaint (if the person concerned is under 18, their parent or guardian must do so). You must also agree to cooperate fully with us and our insurers if we or our insurers want to enforce any rights which are transferred.
33. Where it is impossible for you to return to your departure point as per the agreed return date of your package, due to “unavoidable and extraordinary circumstances”, we shall provide you with any necessary accommodation (where possible, of a comparable standard) for a period not exceeding three nights per person. Please note that the 3-night cap does not apply to persons with reduced mobility, pregnant women or unaccompanied minors, nor to persons needing specific medical assistance, provided we have been notified of these needs at least 48 hours before the start of your holiday. For the purposes of this clause, “unavoidable and extraordinary circumstances” mean warfare, acts of terrorism, significant risks to human health such as the outbreak of serious disease at the travel destination or natural disasters such as floods, earthquakes or weather conditions which make it impossible to travel safely back to your departure point.
34. Optional excursions and activities
34.1 We and our tour leaders, guides, drivers or other staff may provide you with information (before departure and/or when you are on tour) about optional activities and excursions which do not form part of your pre-booked arrangements with Renedian, and which are available in the area you are visiting. We have no involvement in any such activities or excursions which are not run, supervised or controlled in any way by us.
34.2 They are provided by local operators or other providers who are entirely independent of us, and they may or may not have their own public liability insurance. They do not form any part of your contract with us even where we suggest particular operators / providers and / or assist you in booking such activities or excursions in any way. Where a tour leader collects payment for or otherwise assists in booking any such activity or excursion for you, we and the tour leader act solely as booking agent for the local operator / provider of the activity or excursion with whom you will have a contract. The local operator / provider’s terms and conditions will apply. We cannot accept any liability on any basis in relation to such activities or excursions.
34.3 We do not guarantee that any optional activity or excursion mentioned in our brochure, on our website or elsewhere will be available to book during your holiday and / or will operate as advertised as these services do not form part of our contract and are not under our control. They may not be available for various reasons. Any prices given in advance are indicative only. We will not be liable if you cannot, for whatever reason, book any such activity or excursion or if the activity or excursion does not operate as advertised.
35. Urgent care and assistance during adverse situations
35.1 If, whilst you are on your tour with us, you find yourself in difficulty for any reason, we will offer you such prompt care and assistance as is appropriate in the circumstances.
35.2 We will provide you with appropriate information on health services, local authorities and consular assistance, and assistance with distance communications and finding alternative travel arrangements.
35.3 Where you require assistance which is not owing to any failure by us, our employees or subcontractors we will not be liable for the costs of any alternative travel arrangements or other such assistance you require. Any supplier, airline or other transport supplier may however pay for or provide refreshments and/or appropriate accommodation and you should make a claim directly to them.
35.4 Subject to the other terms of these Terms & Conditions, we will not be liable for any costs, fees or charges you incur in the above circumstances, if you fail to obtain our prior authorization before making your own travel arrangements.
35.5 Furthermore, we reserve the right to charge you a fee for our assistance if the difficulty is caused intentionally by you or a member of your party, or otherwise through your or your party’s negligence.
36. Website / Advertising material accuracy – The information contained on our website and in our other advertising material is believed correct to the best of our knowledge at the time of printing or publication. However, errors may occasionally occur, and information may subsequently change. You must therefore ensure you check all details of your chosen tour (including the price) with us at the time of booking.
37. Items normally included as part of your tour price. On most Renedian Tours, you can expect to have the following included as part of your tour price:
37.1 Airport transfers as booked per Guests’ scheduled arrival and departure days. Guests arriving early or departing late may be responsible for an airport transfer, but we will endeavor to re-schedule pre-arranged transfers.
37.2 Accommodation for every night of your tour on either a shared or solo basis. This can be expected to be in single, double or twin rooms. Your tour price is usually based on double occupancy, unless a single room supplement is paid.
37.3 Unless advised otherwise, most tours include all breakfasts and dinners for most evenings, which will be specified in each specific tour’s itinerary. Some days are considered as “rest” or “optional” days where the tour is scheduled to spend two or more consecutive nights in the same location. Such nights may be considered to a rest or optional day and Guests may be responsible for the dinner cost should circumstances so dictate.
37.4 Unless specifically advertised or advised otherwise, a support vehicle will be available to carry your luggage and non-motorcycle riding Guests while on tour.
37.5 Tour Leaders and Tour Guides – In addition to the support vehicle, at least one or more tour leaders/guides will be on your tour. This number may increase should the number of guests on tour require such higher number of guides but remains at the discretion of Renedian.
37.6 Tour Information / Material relevant to your tour. After receipt of full payment for the tour, you will receive all the information you need to pack and prepare for the tour, including detailed route descriptions and route maps, and a list of hotels. This may be provided to you in written or electronic format via email or in your unique online Guests portal.
37.7 Activities that are specifically identified in the published tour description for the tour
38. Items not included in your tour price – The following items are not included as part of your tour price;
38.1 any item not mentioned as included is not included. Alcoholic beverages are not included. Items of a personal nature are not included.
38.2 Visas, pre-trip medical items, trip & medical insurance
38.3 Personal medicine and personal medical items;
38.4 Personal travel to and from the tour’s starting and end points;
38.5 Some lunches and dinners on rest days;
38.6 Alcoholic drinks;
38.7 Fuel for your motorcycle (unless specified otherwise);
38.8 Staff and local guide / 3rd party gratuities
39. Single Room Supplement
39.1 Renedian will provide single rooms for Guests who agree to pay the supplemental charge as advertised.
39.2 Where a Guests initially booked on a “shared room” basis, and later request a Solo room, this will be subject to payment of the solo room supplement and cannot be guaranteed at such later time as it is dependant on room availability, as rooms are booked far in advance.
40. Media such as photo and video material taken by Guests while on tour
40.1 While on tour, all guests agree to any media, photos, videos or otherwise taken by such Guests and then subsequently made publicly available to Renedian or the rest of the group (i.e. via WhatsApp, text message, email message, Airdrop, Bluetooth sharing etc.), consents to Renedian making use of this material for promotional and advertising purposes, including images in which individual tour Guests can be recognized, without any charge for the use of this material. Specific consent is given to use such material on any of Renedian’s official Social Media channels, including without limitation Facebook, Instagram, YouTube, X and Linked-In, and also on any of Renedian’s owned websites such as /.ca /.ca and /.ca
40.2 Any media produced by Renedian or its contracted third parties during any tour remains the property of Renedian, including and copyrights associated with such media.
41. Please ensure that you have read and understood all the information that we have provided to you, whether on our website, in your Guest portal, brochures, and/or the website, regarding the style of our tours, and other relevant travel information.
42. Acceptance Of Trip Terms and Conditions – Every Guest understand, agree and confirm that he/she –
42.1 will be required to sign a release and waiver form before participation in any Renedian organized event or tour;
42.2 have read and accepted this agreement and Terms and Conditions;
42.3 is aware that motorcycling is dangerous and that traffic conditions, roads, weather and other conditions as well as the actions of other members of the tour can increase the risks, and further agree to accept such risks;
42.4 is an experienced, responsible and healthy motorcyclist with a valid motorcycle driver license and in the event of such Guest being a passenger, that he/she is aware of the potential dangers of motorcycling;
42.5 further agree and understand that the owners, operators and agents of this tour, including Renedian, are not the guardians of any individual’s safety and that such responsibility remains with the Guest at all times;
43. Renedian, its owners, managers, employees or sub-contractors, whether individually or collectively, cannot be held liable in any way for any occurrence in connection with the operation or a Guest’s participation in a Renedian tour which might result in injury, death or other damage to any guest, a Guest’s property, family, heirs, or assigns.
44. This agreement and Terms and Condition shall be governed by the laws of Canada and any action or motion between any party hereto shall only be brought in a court in Canada and not in any other jurisdiction
